Role Overview : 

This position will manage up to a $25M annual federal program and assist in processing up to 250 federal grants. It requires a candidate that is detailed/organized, basic accounting skills, with demonstrated communication skills to work with various professionals at varying levels. The candidate will: 

• Review, track, and process payments, purchase orders, requisitions, procurement requests ensuring accurate vendor/consultant information, timely processing, advising any needed changes. 
• Prepare and administer routine budget and tracking reports for directors, office managers, supervisors, and project managers to validate budgets, address variances, program activities, and list any corrective actions required.
• Manage all program change orders: scope and cost adjustments, new program elements, deleted elements, fund transfers, and tasks adjustments in coordination state and federal agencies.

Salary Statement : 

The salary for this position traditionally starts at $39,000.00 but may be commensurate with education or work experience.

Long Description

It requires a candidate that is detail and is ability to work with various professionals: Executives, Senior Managers, Engineers, Technicians, Finance and Procurement staffers, Contracts Services, and many others. The candidate will:

• Review, track, and process payments, purchase orders, requisitions, procurement requests ensuring accurate vendor/consultant information, timely processing, advising any needed changes.
• Prepare and administer routine budget and tracking reports for directors, office managers, supervisors, and project managers to validate budgets, address variances, program activities, and list any corrective actions required.
• Manage all program change orders: scope and cost adjustments, new program elements, deleted elements, fund transfers, and tasks adjustments in coordination state and federal agencies. 

A Day in the Life:

The essential functions of this role are as follows: 

• Resolve issues related to one or more agency program areas. 
• Provide guidance and deliver program assistance to businesses, agencies and individuals obtaining varying services. 
• Evaluate the customers’ needs and determine the feasibility of requests and what restrictions may exist. 
• Contact businesses, individuals, and other local, state or federal agencies to confirm or collect information and/or to respond to requests for information. 
• Interpret and apply agency or state policies, regulations, and procedures related to program to ensure accuracy, completeness, and conformance to program requirements. 
• Investigate, research, analyze, and present policies, processes, legislation, regulations and rulings related to the program for resolution of more complex issues. 
• Provide guidance, training, and serve as a program resource to staff, other agency personnel, public and private business partners, and the general public.

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

What You'll Need for Success:

The ideal candidate in this role should minimally have/or:

• An Associate's Degree and 1+ years of experience, or least 2+ years of demonstrated experience applying the below, outlined knowledge, skills, and abilities in a similar role. 
• Be flexible, detail oriented, proactive and have strong organizational/time management skills to handle a wide variety of tasks, prioritize workload, problem solve, and meet stringent deadlines concurrently.
• Be customer focused with excellent interpersonal skills and a strong sense of urgency/accountability to treat all customer requests and inquiries with a high level of sensitivity, respect, and promptness.
• The ability to learn and apply agency policies, procedures, guidelines, and understand basic accounting principles and practices. 
• The ability to establish and maintain effective relationships with various governmental agencies and external stakeholders. 
• Effective communicate skills both orally and in writing. 
• Proficiency in Microsoft products (Windows, Word, Excel, Outlook, PowerPoint, and Teams) able to perform pivot tables in Excel and formatted reports in Word. 
• Able to perform essential functions with or without reasonable accommodation or direct supervision.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.

This role may serve as a team lead for an assigned work group.
