Job Description
The Billing Administrator is responsible for ensuring department transactional and ad-hoc activities are completed timely and accurately, and documented in Elite, ARCS and other systems in accordance with Firm policies and relevant external requirements and regulations.
This is a Hybrid position resident in Kansas City.
Responsibilities - Department responsibilities may include, but are not limited to
- Pre-bill binder check-in and related communications
- Printing and mailing invoices that are sent as hardcopy
- Submitting electronic bills through the eBilling Hub
- Handling the Billing Support mailbox (answering questions or opening tickets when needed)
- Editing pre-bills (narrative edits, transfers)
- Gathering expense backup documents for client invoices
- Providing support and backup to the billing team generally
- Other activities in response to current and future business needs
- Production, quality and accuracy standards are consistently met or exceeded.
- Department policies and procedures are consistently followed with completeness and accuracy standards.
- Inquiries from Clients (both internal and external) and other third parties are addressed in a manner that meets established department standards and are appropriately resolved.
- Oral and written presentations and general communications are effective, professional and appropriate to the circumstance.
- Collaboration and communication between department team members, accounting & finance group departments, and other corporate / firm departments is encouraged and expected.
Qualifications - Basic knowledge of accounting concepts, typically acquired from a high school diploma or 2-3 years of general office experience.
- Sufficient knowledge of Client Accounting / Legal Billing practices to assist in the preparation and issuance of paper and electronically billed legal invoices, respond to inquiries and questions from various stakeholders, and assist the Billing Specialists with other administrative tasks.
- Proficiency in Microsoft Excel, sufficient to assist with account analysis and reconciliation. Ability to leverage Microsoft Outlook and Microsoft Word to communicate effectively, create, and edit documents. Ability to execute various types of prebill editing functions in Elite.
- Ability to exercise sound judgment in financial and accounting matters. Demonstrated ability to effectively raise issues and consult with department manager to resolve issues and ensure compliance with firm policies and procedures.
- Ability to execute multiple tasks and high workload volume without material impact on error rates or client service. Demonstrated ability to quickly learn and master new processes, steps, policies and technical skills.
- Ability to communicate in person and via e-mail and telephone with internal and external clients and vendors, receive instructions and provide information with ordinary courtesy and tact.
- Ability to execute tasks efficiently and effectively within expected timeframes.
Education And Certifications Required: High School Diploma or equivalent
Preferred: Associate degree in Business Administration, Accounting/Finance or related field
Experience Required Minimum 2 years of relevant experience
